Beautiful Garden is committed to providing reliable and professional gardening services, including garden maintenance, lawn care, planting, and landscaping. We recognise that on rare occasions our service may not meet your expectations. This Complaints Procedure explains how you can raise a concern, how we will respond, and the steps we will take to put things right where possible.

What This Procedure Covers

This Complaints Procedure applies to all services provided by Beautiful Garden, including but not limited to lawn care, hedge cutting, planting schemes, seasonal tidy-ups, garden clearance, soft landscaping, and related consultation or design work. It covers concerns about service quality, delays, communication, conduct of staff, and how work has been carried out.

Raising a Complaint

If you are unhappy with any aspect of our gardening services, please raise your concern as soon as possible so that we can address it quickly. You can contact us in writing or verbally. When you make a complaint, please provide the following information to help us investigate effectively:

• Your full name and the address where the gardening work was carried out
• A clear description of the issue you wish to complain about
• The date the work took place and any scheduled appointments related to the issue
• Any photographs or notes that may help explain the problem
• How you would like us to resolve the matter, if you have a preferred outcome

Informal Resolution

In many cases, issues can be resolved quickly and informally. If you raise a concern with a member of our team while they are on site, we will do our best to address it immediately, such as revisiting a particular area of the garden or clarifying the work agreed. Where an informal resolution is not possible on the spot, the concern will be passed to a manager for further review.

Formal Complaint Process

If your concern cannot be resolved informally, or if you prefer to make a formal complaint from the outset, the following process will apply:

1. Acknowledgement: We will acknowledge your complaint as soon as reasonably possible after receiving it. We will confirm that we have logged your complaint and outline the next steps.
2. Investigation: A manager or senior member of the Beautiful Garden team will review the details of your complaint. This may involve checking our job records, speaking to the staff involved, and, where appropriate, arranging a visit to your garden to inspect the work.
3. Response: After completing our investigation, we will provide you with a written or verbal response explaining our findings, any action we propose to take, and the reasons for our decision.

Timescales

We aim to deal with complaints promptly and efficiently. While exact timeframes may vary depending on the nature and complexity of the issue, we generally aim to:

• Acknowledge your complaint within a reasonable period
• Complete our investigation and provide a full response as soon as practicable, taking into account the need to inspect the garden or arrange follow-up visits where required

If we are unable to provide a full response within our usual timescales, we will let you know and explain when you can expect a final reply.

Possible Outcomes and Remedies

Where your complaint is upheld, we will seek to offer a fair and practical remedy, taking into account the nature of the issue and the gardening work involved. Depending on the circumstances, this may include:

• Returning to your garden to complete work that has not been finished as agreed
• Rectifying work that does not meet our standards, such as re-cutting a lawn area or revising a planting bed
• Offering alternative solutions where direct correction is not possible, for example due to seasonal limitations or plant growth cycles
• Providing an explanation and, where appropriate, an apology

Our goal is always to reach a resolution that is reasonable for both you and Beautiful Garden.

Follow-Up and Continuous Improvement

We review the complaints we receive to identify patterns and areas for improvement. This may include additional staff training, changes to how we plan and deliver gardening work, or updates to how we communicate with customers about services, timings, and access to gardens. Your feedback directly helps us improve our service for all customers.

If You Are Still Unhappy

If you feel that your complaint has not been resolved satisfactorily after following this procedure, you may request that your case is reviewed by a more senior member of the Beautiful Garden team. They will consider the steps taken so far, review the evidence, and provide a final view on the complaint.

All complaints are handled confidentially. Information you provide will be used only for the purpose of investigating and resolving your complaint and for improving our gardening services. We will store and process your information in line with our data protection responsibilities.
